What's inside

  • Assets. Current assets (cash, money customers owe you, inventory, prepaid expenses), fixed assets at cost less accumulated depreciation, and other assets.
  • Liabilities. Current (supplier bills, credit cards, taxes owed, loan principal due within 12 months) and long-term.
  • Owner's equity. Opening capital, plus money you put in, plus net profit, minus owner draws.
  • Balance check. Assets minus (liabilities + equity) must be zero. If it isn't, it turns red and tells you so.
  • Health checks. Working capital, current ratio and debt-to-equity for both dates.

The one rule

Assets = Liabilities + Equity. Everything the business owns was paid for with either borrowed money or the owner's money and profits. If your numbers don't balance, something is missing. It's usually cash, a loan balance or owner draws.

Tips

  • Inventory and equipment go in at what you paid, not what you could sell them for.
  • Split each loan: principal due in the next 12 months is current, the rest is long-term.
  • Owner draws reduce equity, not profit.
  • Net profit comes from your P&L, for example the bookkeeping template. Money customers owe comes from the invoice tracker.

Applying for a loan? Lenders usually want a balance sheet with a P&L and a projection. Have your accountant review it before you send it.
