Know who owes you, and for how long

Log each invoice you send. The tracker works out the due date, flags anything overdue, groups unpaid money by age and shows how long each client takes to pay. Everything updates when you open the file.

Sample invoices from the file. They're dated around today, so every status shows when you open it.

What's inside

  • Invoices. One row per invoice: client, issue date, terms in days, amount, tax and what's been paid. The due date, balance, status, days overdue and aging bucket fill themselves in.
  • Status that keeps itself current. Not due yet, Due soon (next 7 days), Part paid, Overdue or Paid, worked out from today's date each time you open the file.
  • Clients. Invoiced, paid, outstanding and overdue per client, plus their average days to pay.
  • Dashboard. Total outstanding, overdue amount, money paid on invoices with a payment in the last 30 days, average days to get paid, and an aging table.

How aging works

Unpaid invoices are grouped by how many days they are past their due date: not yet due, 1–30, 31–60, 61–90 and over 90 days. This is the usual accounts receivable aging report that accountants and lenders use. Payment terms work the usual way, so “Net 30” means due 30 days after the invoice date and 0 means due on receipt.

Using it

  1. Add your clients and their usual terms on the Clients tab.
  2. Each time you send an invoice, add a row on Invoices.
  3. When money arrives, put the total received so far in Amount paid and the date in Date paid.
  4. Delete the sample rows once you've seen how they work.

The tracker doesn't create invoices. Keep sending them from your usual tool and log each one here.

In Google Sheets: upload to Drive, right-click → Open with → Google Sheets, then File → Save as Google Sheets.

Paid invoices also count as income. To keep your books, log them in the bookkeeping template too.
