A lead tracker you don't need a CRM for

One spreadsheet that remembers who you contacted, who replied, and who you owe a follow-up. Overdue leads go red on their own. Works in Google Sheets and Excel, on desktop and phone.

The four sample rows that come in the file, each showing one of the colour states.

What the colours mean

  • Red name: the follow-up date has passed. Deal with these first.
  • Yellow row: the follow-up is due today.
  • Orange row: you've been talking, but no follow-up date is set. These are the leads that quietly disappear.
  • Grey text: closed, won or lost. It fades so open work stands out.

No scripts, add-ons or macros. It's all built-in conditional formatting, so it keeps working after you copy it, share it or open it on your phone.

What's inside

  • Leads tab. One row per lead. The columns you use daily come first: name, company, status, next follow-up. Lead Name stays pinned while you scroll sideways on a phone.
  • Dropdowns for Status (New → Contacted → Replied → Interested → Not now → Closed-won / Closed-lost), Priority (Hot, Warm, Cold) and Source.
  • Automatic columns (grey headers): Follow-up Due?, Days Since Contact and Days Overdue. You never type in them.
  • Date checks. The date columns only accept real dates, so typing “next tues” can't break the highlighting.
  • Dashboard tab. Overdue count, due today, leads with no follow-up set, open leads, leads added this week, win rate, and breakdowns by status and by source.
  • Room for 1,000 leads, with a filter on every column.

Using it in Google Sheets

  1. Download the file and upload it to Google Drive.
  2. Right-click it → Open with → Google Sheets.
  3. File → Save as Google Sheets. Dropdowns, colours and formulas all come with it.

In Excel, Numbers or LibreOffice, just open it.

Getting started

  1. Look at the four sample rows to see each colour, then delete them.
  2. Add your leads. Every time you contact someone, update Last Contacted and set a Next Follow-up.
  3. Each morning, open the sheet and work through the red and yellow rows. Ten minutes is usually enough.

Need another column, like deal value or owner? Add it at the far right and nothing breaks.

When you've outgrown it

A spreadsheet is enough until you need email sync, several people working the same leads, or automated follow-up sequences. That's when a CRM like GoHighLevel starts paying for itself. If you're at that point, message me and I'll help you move your list over.
